Reducing fuel invoice processing time for transportation and supply chain management providers

About the client

The company is a French provider of transportation and supply chain management products, best known for its rental truck fleet and dedicated contract transportation for more than 50,000 customers who manufacture products for consumer daily use.

Motivation to implement RPA solution:

The customer received the fuel bill in an unstructured format. In order to pay vendors and suppliers, we had to convert the invoice into a structured format. This was important to the client’s core business. The invoice had to be manually validated and integrated. The customer wanted to automate the entire process.

In the automation phase we have:

• developed a methodology for automating existing systems conducted tests of solutions
• measured the parameters of the solution according to the specific needs of the customer
• implemented improvements
• launched production of the robot

Results:

The company has reduced fuel cost processing time by using RPA, which reads emails directly from vendors and suppliers and automatically downloads invoice attachments. Gets the relevant data from the invoice and transforms the unstructured data into structured data. The robot validates, integrates, and cleans up the data and automatically formats the Excel spreadsheet to the desired format.
