Organizer of the Initiative: The marketing initiative "Free Automation Implementation (PoC) for Clients" (referred to as the "Initiative") is organized by G1ANT SP. Z O.O., based in Kraków, at ul. Stepowa 34D, 30-698, registered under NIP: 6751598656 (referred to as the "Organizer").
Purpose of the Initiative: The purpose of the "Free Automation Implementation (PoC) for Clients" initiative is not only to promote RPA (Robotic Process Automation) services offered by our company but also to educate the market about the accessibility and effectiveness of these solutions. In response to the widespread belief that business process automation is a costly and complex investment, we aim to demonstrate that it is, in fact, different.
Our primary goal is to show clients that routine tasks currently performed by employees can be efficiently taken over by robots, allowing people to focus on more critical aspects of their work. We want to promote a holistic approach to automation, emphasizing that employees should focus on higher-value tasks, while repetitive and time-consuming ones can be successfully automated.
Additionally, we aim to highlight the financial aspect of automation, demystifying the belief in its high costs. Through this initiative, we want to show clients that investing in automation does not have to be expensive; on the contrary, it can bring immediate savings by transferring monotonous tasks to robots, resulting in increased efficiency and reduced operational costs.
Definition of Proof of Concept (PoC): The PoC implemented as part of our initiative is a process that plays a crucial role in demonstrating and verifying technological capabilities. The goal of the PoC is to provide the participant of the initiative, our potential clients, with a demonstration version of a business process automation solution.
This step allows us to showcase the real benefits that can arise from implementing RPA technology within the client's organization.
The preparation and execution of the PoC by the Organizer primarily serve as proof that we can create a dedicated robot to automate business processes specified by the client. In this initial implementation, we emphasize showing how automation can contribute to streamlining the client's operations, reducing the time spent on routine tasks, and ultimately generating savings.
Through the PoC, clients have the opportunity to see the technology in action, allowing for a better understanding of its potential and the role it can play in the digital transformation of their companies. Our goal is for each participant to experience that process automation is not just a futuristic concept but a real solution that delivers measurable benefits.
Definition of a Robot in the Context of an Automated Process: A robot, in the context of our business and services related to business process automation, is an advanced software program designed to precisely and autonomously perform a series of repetitive tasks in a business environment. The key feature of the robot is its ability to operate based on pre-programmed instructions, allowing it to perform tasks flawlessly and efficiently without the need for constant human intervention.
The robot is highly adaptable and can interact with a wide range of applications, systems, and platforms, making it a versatile tool capable of integrating with various technological environments. As a result, the robot can take over various tasks, from simple and monotonous activities to more complex processes that require interaction with multiple systems.
The purpose of implementing the robot is primarily to relieve employees from routine, time-consuming tasks that do not require advanced skills or creative thinking. By automating these processes, employees can focus on higher-value tasks, which, in turn, leads to increased operational efficiency and significant savings for companies.
In summary, a robot in our understanding is an indispensable tool that transforms the way businesses operate, bringing tangible business benefits through process optimization, cost reduction, and unlocking the potential of human talent.
Duration of the Initiative: The initiative begins on February 21, 2024, and continues until further notice. The Organizer reserves the right to close the initiative early, cancel it, or make changes to its format without providing reasons. Any changes regarding the initiative will be communicated to participants via the Organizer's official information channels, including the website and social media.
Participation Terms: Participation in the "Free Automation Implementation (PoC) for Clients" initiative is open to the Organizer's clients who express interest by filling out the application form available on the initiative's website or by directly contacting one of the company's representatives. All companies with legal status enabling them to use RPA automation services offered by the Organizer are eligible.
Participation also requires an initial consultation with an automation and optimization expert from the Organizer's company to define the process that will be subject to automation and assess its suitability for creating a PoC. This is a necessary step to understand the client's needs and expectations and evaluate the technical feasibility of the project.
Additionally, submitting an application for participation in the initiative does not guarantee automatic acceptance into the program. The Organizer reserves the right not to proceed with the automation task without providing a reason for refusal. The client will be informed clearly and transparently about the decision not to undertake the PoC, but the Organizer is not obligated to justify the decision.
The Proof of Concept (PoC) offer is available exclusively to individual companies and not to groups of companies linked by capital or ownership. If a company applying for participation in the "Free Automation Implementation (PoC) for Clients" initiative is part of a larger capital group or is linked by ownership to another company, the free PoC offer will not be possible unless: each company in the group submits a separate application and is individually assessed by the Organizer, who will decide on the possibility of implementing the PoC for more than one company within the same capital group or ownership-linked companies, based on criteria such as innovation potential, the uniqueness of the proposed automation process, and the strategic importance of the potential automation for the entire group.
Presentation Conditions: The robot will be designed as a simple automation, intended to demonstrate the capabilities of RPA technology to the participant of the initiative. The scope of work for creating the robot is limited to 2 Man Days (working days) of the Organizer's development department. Before work begins, an initial assessment will be conducted to ensure that the scope is realistic within this time limit. If, during the initial assessment, it becomes apparent that full implementation of the process will exceed this limit: We will inform the client about the need to reduce the scope of the process or create only a fragment of it for the PoC purposes. We will offer the client the option to implement the full automation process outside the scope of the free PoC on a paid basis.
After the testing phase, if the client decides to use the Proof of Concept (PoC) for commercial purposes within their company, the Organizer will provide the robot at no additional cost for a period of 3 weeks from the date of its implementation. During this time, the client will also receive a free license for G1ANT.Studio for the same 3-week period. It should be emphasized that the Organizer is not responsible for any costs associated with the operation of the robot during the commercial use of the PoC. Any changes, modifications, or enhancements to the robot after its implementation can be continued for the client on a paid basis. These services can be ordered as part of additional support. After the free 3-week period, the client has the option to continue using the robot on commercial terms, provided they extend the G1ANT.Studio license for a minimum of 12 months, either through a subscription model or a one-time license fee for the specified period.
If the client decides not to continue working with the robot, the Organizer will not issue any charges or make any financial claims against the client.
Robot implementations will be handled in the order of applications until the available automation limits are exhausted. The Organizer reserves the right to refuse the implementation of a robot if its deployment would be against the law, business ethics, or the goals of the initiative.
After the RPA software implementation, both parties agree to engage in joint promotional activities that will begin no later than two weeks after the system implementation. These activities will include the client providing the Organizer with references confirming the project's success. Additionally, both parties will participate in organizing a promotional campaign on social media platforms such as Facebook, LinkedIn, and Instagram, publishing general information about the collaboration with G1ANT, without going into project details. As part of the promotion, the use of both parties' logos will also be permitted.
Rights and Obligations of the Parties: The participant of the initiative is required to provide the Organizer with all necessary information and resources needed to create and implement the robot. Additionally, the participant is required to designate a person responsible for collaboration with the Organizer, who will serve as the primary point of contact regarding the initiative's implementation. The Organizer agrees to keep all information obtained from the participant confidential during the initiative's implementation. All data, business processes, and other confidential information provided by the participant will be handled with the utmost care to ensure protection from disclosure to third parties.
All intellectual property rights to the robots created as part of the initiative will belong to the Organizer. The participant of the initiative is granted the right to use the robot in accordance with the terms outlined in the license agreement, which will be provided during the PoC implementation phase. The Organizer reserves the right to further develop, modify, and commercially use the robot.
Final Provisions: In matters not regulated by these terms and conditions, the applicable provisions of Polish law shall apply. Any disputes arising from the implementation of the initiative will be resolved in accordance with the law in force in the territory of the Republic of Poland. The Organizer reserves the right to make changes to the terms and conditions of the "Free Automation Implementation (PoC) for Clients" initiative at any time.
Any modifications will be published on the official initiative website, and information about the changes will be made available to participants in a manner that ensures easy access to the updated provisions. The changes will take effect upon publication unless the new version of the terms and conditions specifies a different effective date.
